Crop, or add borders?

There are exactly two ways to change an image's shape. One throws picture away; the other gives up frame area. Which is right depends on the photograph, not on a rule.

The two operations

Cropping keeps a region of the picture and discards the rest until what remains is the right shape. Full resolution survives in the part you keep. The part you cut is gone from that file for good.

Padding — letterboxing, adding bars, expanding the canvas — puts the whole picture on a larger canvas of the right shape and fills the extra space with a colour. Nothing is lost. The picture occupies less of the final frame.

Every “make this square” problem is one of these two, and most tools only offer the first.

When cropping wins

The shape change is small. Going from 3:4 to 4:5 takes a thin strip off each side. Nobody notices, the picture is unaffected, and padding would look like an odd decision.

There is dead space to lose. Sky, floor, an empty wall, the desk around a photographed document. Cropping is not a cost here — it is an improvement that also happens to fix the shape.

The image will be shown small. In a feed of thumbnails, an avatar, a marketplace grid. Bars mean the actual picture is displayed smaller still, and at thumbnail size that is the difference between visible and not.

There is a tight file size limit. Cropping removes pixels, and fewer pixels means fewer bytes to spend. Cropping to the subject before compressing to a small target is the single most effective thing most people never do — the entire budget then goes on the part of the picture that matters.

When padding wins

The subject reaches the edges. A product shot framed tightly, a logo, a scanned document, a group photograph where somebody is standing at the end. There is nothing to remove that is not part of the point.

The shape change is severe. A landscape photograph cropped to 9:16 keeps about half its width. That is not a crop, it is a different photograph. Padding keeps the one you took.

The image is documentary. A screenshot, evidence, a scan, a chart. Cropping changes what is shown, and for anything being submitted as a record that can matter well beyond aesthetics.

You want somewhere to put text. A story frame padded top and bottom gives you two clean bands for a caption that will not sit over the picture.

The ten-second test

Look at the required shape over your image and ask: would I be happy to delete everything outside this frame?

If yes, crop. If you hesitate, pad. The hesitation is the answer — it means something outside the frame is doing work, and no amount of moving the crop box around will change that.

What padding costs, honestly

Frame area, and it is more than people expect. A 16:9 photograph padded to a square spends over forty per cent of the finished image on empty space. In a scrolling feed that reads as a small picture with a large margin — which is fine as a deliberate style and bad as an accident.

It costs very little in file size, though. A flat region of one colour compresses to almost nothing, so wide bars might add a few kilobytes. If you were expecting padding to blow a size limit, it will not.

Choosing the colour

White is the safe default, because most places that display images against a background display them against a white one, and a white bar simply disappears into the page. Black suits a dark photograph and reads as cinematic rather than accidental. A colour sampled from the image itself usually looks best of all and takes ten seconds with the custom picker.

Transparent is a different thing altogether: it means the extra space contains nothing, so whatever the image is placed on shows through. That is what a logo going into a design wants, and it requires PNG or WebP — JPEG has no way to record “nothing here”.

You can do both

A common and slightly non-obvious combination: crop away genuine dead space first, then pad the result to the exact shape. You lose the parts that were doing nothing and keep the parts that were, and the bars end up narrower than they would have been.
